A Glimpse in the Rear-View Mirror: Velocity 2019 Recap

With the dust finally settling from Velocity 2019, we’re giving our OnBase-enthused engines a breather as we shift into park until 2020. But before we officially turn back the key, let’s take one last glimpse in the rear-view mirror at all the innovation, collaboration and pure fun that fueled such an accelerating event for courts, governments, insurance organizations, back offices and others across the nation.

Day One: Fine-Tuning

Velocity Training 2019

Rubber immediately met the road for the 30 OnBase admins who attended Tuesday’s all-day training sessions. Divided into general and advanced classes and instructed by two ImageSoft sales engineers, the sessions blueprinted many traditional and new OnBase tools that serve admins across every industry.

A few attendees decided to spend the day driving their momentum across the course during a round of golf and networking with ImageSoft account executives at The Inn at St. Johns.

A Dine No One Dashed On

Whether attendees opted for taking swings or stroking keys, everyone reconvened under one roof for a complimentary dinner, cocktails and catching up at the Novi Suburban Collection Showplace. On the menu? Something for everyone! With stations serving up Mexican fare, Mediterranean-Greek style dishes and good ol’ BBQ, it was easy to indulge in conversation with new and familiar faces while visiting and enjoying each spread.

Day Two: Showtime!

With vibrant teal lanyards and a personalized schedule in front of them, the roughly 100 “day two” attendees enjoyed session after session (with trail mix and nacho bars refueling them in between!), hearing first-hand customer stories about the opportunities afforded from the electronic workflow, case management and overall streamlined communications that OnBase provides. While sessions were organized on industry-specific tracks, participants were free to attend any session that peaked their interest. After all, it’s not uncommon for the prosecutor’s office to be inspired by seeing OnBase at work in the courtroom.

Before the busy day ahead, however, all attendees were invited to join us for breakfast and a brief general session, featuring a guest speaker who is the “apple” of many technology-inspired eyes.

Will the Real Steve Jobs Please Stand Up?

A complete 180° from Emcee Adam Rose’s cowboy getup during last year’s Velocity, attendees were unexpectedly greeted by Steve Jobs. Well, kind of. It was ImageSoft CEO Dave Hawkins channeling his inner Jobs, complete with a black mock turtle-neck sweater, casual blue jeans, white New Balance sneakers and all the appropriate iconic quotes and mannerisms.

All entertainment aside, Dave opened the day by spelling out the “why” of technology innovators in the context of encouraging sentiments. Building on quotes such as “Innovation is the ability to see change as an opportunity, not a threat” and “Think Different,” Dave’s contagious excitement about the paperless future energized the room and opened everyone’s minds to the possibility of their ideas, the inspiration of what’s been done and the opportunity of what’s to come.

“I wanted to draw on the wisdom of a universally admired master innovator to convey a few key principles of success: the willingness to try crazy ideas, the discipline to focus and the need to persevere,” said Dave. “These traits can make or break IT projects.”

We’re not just bragging. We swapped completed surveys for swag bags on the way out and are humbled to share that, out of a four-star possibility, attendees gave us an average of 3.8. Our most common, free-handed response? “Loved seeing how other organizations used the products!”

Gill is credited with inventing the bumper sticker in the late 1940s after the screen printer found himself with an oversupply of adhesive-backed stickers and fluorescent paint following World War II. Sources can’t verify what exactly it said (if anything), but it’s sad to think he missed the trademark “Run, Forest, Run!”

At any rate (or should we say “Velocity”), Mr. Gill quite possibly invented one of the most brilliant messaging tools. After all, what else are you going to read while stuck in traffic?

The Year in Review: Expanding our Footprint

ImageSoft continued to grow in 2018, expanding our footprint in a variety of ways. We were awarded major new projects from California to Georgia, and many places in between. ImageSoft is now doing business in 31 states and three provinces as more organizations continue to accelerate their digital transformation and need to transform their processes, not just paper. Specifically in the justice arena, we now serve nine state court administrative offices or justice departments, and currently have proposals out to two more.

But it’s not only our geographical footprint that has grown. We are also continuing to widen our array of court technology solutions. Here’s a sampling of ways we’re expanding our technological footprint.

Charge Code Management

Leading the “charge” in this arena, ImageSoft has been asked by three states for help in managing their charge codes. We thank our role as a Platinum Reseller of OnBase by Hyland for positioning us as a trusted leader in solving this issue. Our solution, a uniform, state-wide table of codes, utilizes OnBase’s case management module to create a database management tool that keeps everyone on the same page and synchronizes charge codes across all jurisdictions. With everyone speaking the same charge code language, efficiency improves and data analysis becomes much more feasible.

Electronic Case File Transfers to Appellate Courts

ImageSoft has also been solicited by three states to provide automated transfer of electronic case files from trial courts to appellate courts. Again, the value proposition is readily evident: especially in states with decentralized judicial systems, anyone sitting on an appellate court knows the value of having all incoming case files organized, indexed and packaged in a similar fashion. ImageSoft’s CaseShare solution makes this possible, providing appellate court justices with electronic case files structured in a consistent fashion. We think this tool will “appeal” to many higher courts.

Data Conversions

Another area where ImageSoft has grown in terms of both staffing and capabilities is data file conversions. We recognize that new software adoption usually requires migration of data and documents from the old system to the new. To give you a sense of our  data conversion experience, we developed an algorithm for a large, well-known insurance company that successfully migrated 30,000,000 documents. When we had finished this automated process, 100 percent of the documents were accounted for, and 99.987 percent were moved without human intervention. With results like that, I suspect we can “convert” more clients to our solutions.

Video Evidence Management

Our society has witnessed an astounding proliferation of cameras in the past fifteen years, which have undoubtedly impacted the justice realm in the most positive of ways. Usage of bodycams, dashcams, security cameras and cell phone cameras has exploded, placing a greater burden on prosecutors to review hours of footage before identifying and extracting the right clips to show in the courtroom. Imagine this: a confrontation with police occurs on a busy city street that is lined with numerous retail establishments. The prosecuting attorney might have video from two dozen cameras to sort through just to find a few minutes of evidence. ImageSoft is partnering with leading video evidence management companies to bring their products into our fold, pairing them with OnBase to help prosecuting attorneys and law enforcement efficiently manage all the available digital data. This technology proved to be a difference maker on a recent proposal and demo for one of the largest cities in the country. Our foray into video evidence will definitely be worth “watching.”

Expanded eFiling Functionality

In the past year-plus, we’ve completely rebuilt our TrueFiling platform to add new features and make it easier to integrate with our clients’ existing case management systems. We’ve updated the capabilities of our TrueSign product, and we’ve scheduled an overhaul of our Law Enforcement Agency Portal for early 2019. Thankful to already be one of the top three eFiling providers for courts across the nation, there’s always room to grow. So stay on the lookout for more eFiling and eServicing enhancements, which will make life easier for those we “serve.”

Online Dispute Resolution

Now, I have to admit: Online Dispute Resolution (ODR) is a tongue-in-cheek entry on this list. At the eCourts conference earlier in December, no less than five organizations came up to our booth asking for it, and we don’t even provide it – we’ve never even talked about it publicly. But truth be told, we’ve been quietly watching the evolution of ODR for the past two years, and the National Center for State Courts tells us that thirty states are pursuing ODR initiatives. So maybe ODR is in ImageSoft’s future. After all, it’s simply a matter of transferring documents, communicating information and processing payments for courts – much like what we already do with eFiling. We’re not ready to make any promises just yet, but stay tuned – ODR might be one of our New Year’s “Resolutions.”

Final Thoughts

As we continue to expand our footprint, geographically and technologically, there’s one more area that’s growing at ImageSoft: our appreciation for our customers and collaborators. Whether in the justice arena, government, insurance, or corporate clients,  your trust and investment in us is what unlocks our continued investments in product development and allows us to create the solutions that meet your business needs.

Comprised of thousands of change makers-and-shakers, you probably do know someone who contributes to the Detroit-based catalyst that is rebuilding our city one neighborhood at a time. With blighted Detroit neighborhoods as the focus, Life Remodeled invests roughly $5 million into financially, materially, and manually remodeling a Detroit neighborhood each year. In the process, thousands of relationships are built among the volunteers who, despite coming from all different walks of life, can come together and share in this positive experience. 75 percent of Life Remodeled volunteers say their involvement has made them a better person, and we can vouch for it!

6 Days. 10,000 People. One Purpose.

On Tuesday and Friday, ImageSoft team members smiled and laughed through sweat and bug spray as they cleared Detroit alleyways from overgrown trees, weeds and waste. Doing so also added visibility to dangerously-shadowed areas and, of course, revitalized the city’s environment.

“It was a really unifying experience for us as co-workers. Some of us work together every day and some of us have only emailed each other on occasion. Coming together as a team for a greater good not only brought us together outside of the office, but the community-focused environment was a great way to learn about the people we work with and all the cool things that different departments are working on,” said David Waling, Technical Support Representative and Life Remodeled Team Lead for ImageSoft.

As a Platinum Hyland partner and reseller, ImageSoft and many of its clients catch up at CommunityLIVE for a few days of networking, learning about the latest and greatest in the efficiency business, and having a bushel of fun!

Whether you’re an industry leader, IT professional or just a routine software user, CommunityLIVE has an agenda for you. More than 350 product training sessions showcase the latest knowhow among various products and offer industry-specific insights into the top efficiency tactics. The Night Out (aka TNO, aka the-reason-you-came) is every ImageSoft customer’s favorite night of the week! Why? Because it’s a night of pure fun, and it’s all on us! This year, we’re kicking off the night with dinner and drinks at Studio A in The Grand Ole Opry before a boot-kickin’ concert at the Opry House. Not to brag, but we’re probably definitely going to nonchalantly walk past the backstage doors on the way to our seats. But no big deal.

Cheers to Five Years: Arlington County Circuit Court Celebrates 5 Years of Paperless Processes


It was 2013 and Fourth of July week when Arlington County Circuit Court’s criminal division was wearing bright blue shirts. Unlike the patriotic color, the shirt’s slogan that read “Project Paperless – Ask Us What This Means!” may not have immediately resonated with independence, but it was definitely a victory cry. Arlington County Circuit Court was preparing to liberate themselves from paper, and that kind of freedom was something they wanted everyone to celebrate.

Strategically planned on the week that many would be vacationing, the clerk’s office was open every day, but only for half a day. Doing so allowed the employees to lean into their learning curve without interrupting the public. But after pouring three-months of dedication into this new way of life, the staff began to lose morale. They had assumed that, by now, everything should have been flowing easily, but they were still moving along the learning curve.

Kudos for Coffee

Feeling that everyone could use a pick-me-up, the clerk’s office introduced Kudos for Coffee to its internal staff.

Each week, staff could email a sentence or two outlining a positive feature of their new paperless style. One winner was chosen, won a Starbucks gift card, and had their encouraging words posted in the office for all to see. “It reframed their mindset,” said Christina Dietrich, Business Systems Analyst at Arlington County Circuit Court. “Everyone was rallying together to focus on all the good that had come from this transition.”

Before they knew it, Arlington County Circuit Court had been paperless for a full year. Then two, then three, then four. Each year, the office had recognized another year paperless by wearing “Project Paperless” shirts or throwing a pizza party. But when their fifth-year anniversary started approaching, the clerk’s office called for wide-spread celebration.

Unlike past anniversaries, the office invited their constituents and public to share in the festivities. Invitations were sent to eFiling attorneys through their local Bar association, and signs were posted on the kiosks and in the courthouse. “Happy Anniversary” banners were hung in public-facing areas, and each division was able to slogan, decorate and dawn their own cake. The criminal, civil, and land record divisions, as well as the public law library, all pulled together to design four festive sheet cakes for attendees. Each spoke encouraging phrases like “Project Paperless: Where Less Is Really More!” and “Forests are green, oceans are blue, we went paperless for the earth, me and you!” And yes, the exuded excitement was truly contagious. By the time The Project Paperless Party had arrived, sheriffs, attorneys, eFilers, and more began to shuffle in at 9:30 a.m. for a piece of cake from the paperless system that had given them all peace of mind for the past five years.

AlringtonCountyPoemCakeAnd because Kudos for Coffee was such a big hit, it was brought back for the entire week of the five-year anniversary. But instead of keeping it as an internal raffle for one winner, the public was welcomed to participate, and three winners were awarded. Submissions had also changed from simple statements of “I don’t have to carry buckets of files into court anymore” to well-thought-out poems, haikus, and other creative ways of illustrating their love for being paperless. One person even entered a hole-puncher and asked “do you recognize this? It used to be an integral part of assembling files, but it’s completely disappeared since going paperless!”

“I don’t think we’ll throw big celebrations like this every year, but we will recognize our paperless anniversary each year,” said Christina. “It truly is worthwhile to step back and compare where we were to where we’ve come. It’s good to celebrate that accomplishment.”

A Truly Justified Celebration

Since going paperless in 2013, Arlington County Circuit Court has seen a roughly 20 percent increase in its filings. Best yet, the paperless system’s efficiency allows the court to manage its increased case volume without also increasing its headcount. In the last year alone, the court has seen a 19 percent increase in its number of electronically filed documents.

And while we all may not be able to party paperless like Arlington, we can certainly learn from their story: small changes make huge impacts, and that’s something to celebrate.

Not only is Nashville a terrific city (and where I call home) but every customer that we talk to about CommunityLIVE says that the destination is a big draw. As part of the team that helps to prepare for this event, I hope we have a record year for customer attendance.

Tuesday Morning Meet-Up

Dine with Us

You never need to eat a meal with a bunch of strangers unless you want to.

At every conference meal, ImageSoft staff reserves tables for our customers. Don’t worry, you will see us. Our staff wears certain colors on each day so you know where your peeps are. Nothing makes you feel like a VIP like walking into the dining area with attired staff waiting by your reserved tables. As you dine, you get to know other customers in the ImageSoft family and interact directly with our leadership team.

On those evenings when there are no planned conference events, we plan dinners and activities where you can relax, unwind, and have some fun. The last time we were in Orlando, we enjoyed an evening with our customers at a restaurant that hosted Irish line dancing. Oh, to be 21 again and dance like that!

Typically, Wednesday evening is TNO. – The Night Out. TNO is our big event for the week that is exclusive for ImageSoft customers. Past TNOs have included fun stuff like laser tag, a scavenger hunt, escape room games, and even a riverboat party. And if you don’t want to participate, you can still hang out with us.

As for Hyland events, we meet as a group, so we can commandeer a bus or have a landing spot for the evening depending on what we’re doing.NotSoMellowYellow70909

Stay in Touch with GroupMe

We use this free smartphone app, GroupMe, to keep us all connected, send out announcements in real time, and share photos. It’s also a perfect tool in case you need help with getting to a meeting spot or organizing something spontaneously.

Conferences are always better when you have people to learn, laugh, and lounge with. That’s why we do what we do, because to us, our customers are family.

Riding the Momentum at Velocity 2018

IMG_0144.jpgOn February 28, ImageSoft hosted its premiere user conference, Velocity 2018 in Novi, MI, drawing participants from as far away as Yakima (WA) and Cleveland and as close by as Macomb County. It was a jam-packed day, filled with customer spotlights chronicling the long-term adoption of paperless processes by courts, municipal governments and private businesses.

ImageSoft’s Adam Rose served as an energetic MC to get the conference rolling. Launching the morning session was ImageSoft’s CEO Dave Hawkins, who spoke about the agility of ImageSoft’s user-facing products and how we’re eager to continue to check in with customers as we build better solutions. Dave handed off the mic to ImageSoft’s Business Development Director Vince Hanson, who was tested on his knowledge of employees vs. customers. As attendees introduced themselves, Vince encouraged them to share how many years they had been using ImageSoft and OnBase products and to describe the product’s coolest aspect.

Documenting the Cool

Perhaps the best “cool” feature was described by Therese Murphy from Yakima County District Court: she told us how a portion of the clerk’s work had been transferred to judges with the implementation of OnBase and TrueFiling solutions, and the judges were none the wiser…except for Judge Brian Sanderson sitting next to her.

Other attendees mentioned the end of overnight fees to send documents, the move away from paper and its storage, and no more lost files. In one municipal court, judges now hear cases without any paper files at all and use TrueSign features to validate signatures. Confirming that attorneys have actually filed certain documents has eased issues for judges in a local Michigan court. Northern Michigan attendees may win the prize for best improvement: they cut costs in half during the first six months of using ImageSoft’s solutions. In one of Michigan’s Circuit Courts, the clerks no longer get their daily workout from physically carrying files around the courthouse.

Our Industry Panel shared significant insight into their implementation of paperless processes. Asked about the challenges they faced that pushed them to seek a better way, Cleveland Municipal Court IT Implementation Manager Nicole Fields described a common problem: they were running out of storage space to maintain paper files. Similarly, access to paper files was limited to one person at a time and documents were easily misplaced or languished in someone’s in-box. The court started “scan central” to scan and shred paper files and reduce storage costs. Bill Nichols, a prosecuting attorney in Michigan’s Monroe County, agreed and described how staff cuts and a desire to eliminate redundant entries motivated the county to automate workflow and documents.

Managing Change, Giving Advice

The panel members who were from courts spoke about ways of managing the change that comes from moving to a paperless solution using eFiling, case management, document workflow and management solutions. They suggested creating a team process, starting with judges or senior managers as champions, and showing how streamlining processes gives staff more time to devote to their core roles without having to manually push paper. Others, like Melanie Eskritt, Business Initiatives Consultant from Empire Life Insurance, agreed and suggested to listen to your users, dig deep but don’t push, and maintain constant communication and feedback. Allow time to design and test out the process and build in ways to personalize and customize the solution to the exact needs of the staff. A phased implementation is useful, especially to work out bugs and workflow. Add buttons, revise the plan, refine the workflow to best suit your individual needs. Focus on training.

Budget considerations took center stage and each panel participant described the challenges. Proving long-term benefits and demonstrating time savings can be a part of the strategy. Identifying how going paperless can ease backlogs and stop the loss of files can help. Nicole stole the show at Velocity when she said, “we can’t be like Oprah, you get a license and you get a license and everybody gets a license!” Limiting the number of licenses helps keep fees in check.

OnBase Update

Carolyn Kane started her update of what’s new and coming soon from OnBase by comparing it to the evolution of the cell phone – what was you first cell phone like?

Carolyn described OnBase17, new unity forms and the redesigned unity web client with greater accessibility built in. New options and new templates are now available for DocuSign, which enables e-signing of documents. OnBase now integrates with the Workday cloud application for finance, human capital management and education. Brainware by Hyland streamlines data capture from documents through advanced document recognition, OCR and data extraction engines.

The Queen of Yakima County

IMG_2442.JPGTherese Murphy rightly wears the crown for conquering paper files and leading Yakima County District Court into a paperless environment. Losing their unpleasant and inconvenient storage space in the old jailhouse spurred the county to find better processes for their 2 million cases a year. Their goals of efficiency, cost savings, employee satisfaction and better customer service laid the groundwork for their implementation. Prior to the new solution, the annual court expenses for 1 ½ office tech, 1 full-time office specialist, files/forms/printing and copier fees was over $152,000. After implementing OnBase and TrueFiling, these expenses dropped to approximately $112,000, including software maintenance costs. No staff members were dropped but rather were re-assigned to other value-add tasks.

Breakout Sessions

After lunch, breakout sessions spotlighted customer success stories with greater detail, including two insurance company customers, Empire Insurance and Gleaner Life Insurance, as well as Arlington County (VA) Circuit Court, and the Michigan Courts MiFILE project. Hyland gave a detailed account of using OnBase for Accounts Payable, and Brad Smith, our Senior Justice Consultant and Ben Martin from Mentis Technology provided insight into eFiling and electronic records in the courtroom and content management solutions.

Wrap Up and Looking Forward to Community Live

During the wrap-up, raffle gifts were distributed to many lucky winners. Donning western gear, Adam Rose invited everyone to mark their calendars for Community Live, September 9-13 in Nashville.
