One thing not many people know about me is that I’m quite the craftsman. Last month, I took some time off work just to woodwork a new desk for my grandson and spruce up some furniture around the house. This craft, combined with my historian passions (I have two libraries in my house), should tell you that I’m a sucker for the timeless aspects of life.

You may not believe this, but my chase after antiquity and the evolution of time is actually what placed me in the industry of digital transformation. If you dial the clock back to the early 2000s, I was serving as the CIO of a housing organization. In a complete, disheartening awe of their processes, I spent most of my time finding the budget for, and encouraging, a better way to go about business. There were people – families with children – who were in desperate need of roofs over their heads, and were forced to wait on dead time because hard-copy recerts, documentation and numerous applications needed to be shuffled around, snail mailed, signed in wet-ink and filed into the office’s abyss of physical filing cabinets.

I understand that, at some point, the idea of paper anything was novel and innovative – I can appreciate that, so much so that I even wrote about it in this blog. But as I mentioned before, I’m a timeless guy and paper, my friends, is not timeless. By today’s standards, it’s not even timely

Since March, I imagine most of you have been working remotely from your homes. As you’ll read in the industry news article below, many government functions are being completely reengineered for remote work, because that’s the “new normal.” And, truthfully, all I can say is that it’s about time!

You see, history has this bad habit of repeating itself. We may not want to think about it now, but there will be another pandemic. Disasters are inevitable and we need to be prepared. The silver lining out of the last few months? We’re seeing organizations, especially government agencies, starting to work smarter. They’re implementing timeless, digital processes, such as ascending business operations into Cloud-hosted environments, that not only restore efficiency in their day-to-day workflow, but dually serve as rapid response tools in the case of emergencies – in the event we all suddenly have to work remotely, for example.

By now, I’m hopeful that many of you have settled into a mobile way of working that upholds your safety and also regulatory standards. I know, in the beginning, everyone was scrambling to put a make-shift process into place just to sustain some sort of momentum. But, with a more permanent, remote future ahead of us, we should all find more long-term, sustainable digital practices.

One recommendation I have is to find yourself a trusted, comprehensive electronic signature process – emphasis on the “process.” You see, for so long, electronic signing meant disparate, clunky platforms that didn’t necessarily play nice with your existing systems. Honestly, it was probably just as much work, if not more, to digitally autograph a document rather than wet ink it. This is why I’m so genuinely proud of our development team here at ImageSoft who have been thinking “beyond the dotted line,” and just released the newest version of our eSignature solution, TrueSign. Hosted in the Microsoft Azure Government Cloud, TrueSign is, by my finicky standards, timeless. You can check it out and sample a free, live demo here, and are also welcome to register for our upcoming “TrueSign for Government” webinar to learn more.

As a former CIO, I wish we had something like TrueSign just to support our daily tasks. Now that most government staff will indefinitely be working from home, I imagine digitalizing every step in their process is a necessity.

And, speaking of time, can anyone believe next week is September? Time is so fleeting – enjoy it, my friends.

More Than Electronic Signatures: Capabilities “Beyond the Dotted Line”

You know what electronic signing is, but our developers have been focused on what, historically, it’s not.

Join us on September 9th for a live demonstration of TrueSign, the Microsoft Azure Cloud-hosted, mobile-friendly, CJIS-compliant digital signature solution finally taking the eSignature process beyond just a dotted line.

When a Housing Authority C.A.R.E.S, The Improvements Are R.A.D

Illustrated in this article from the San Francisco Examiner is the heartbreaking, widespread reality that residents of public housing authorities (PHAs) are “alarmed by shimmering, new-looking buildings” in their communities, troubled that these seemingly higher-end establishments will drive up the cost of living and perpetuate higher rates of homelessness.

But as District 6 Supervisor Matt Haney exclaims in the article, “Those aren’t condos, those are affordable housing buildings…They’re beautiful and they’re what our residents deserve.”

Technology Solutions for Government Agencies

Incorporating a secure, streamlined solution that brings true visibility and efficiency to daily tasks can make a huge difference for understaffed and overworked government agencies. Hyland’s Kevin Albrecht takes us through some of the biggest questions government agencies need to ask themselves, and helps us understand how leveraging technology can help eliminate wasted time and paper each day.

Taking Steps Toward Comprehensive Preparedness – One Step at a Time

Carving a path for remote, government operations is a challenge in itself: “is this process compliant?” “how do I sign this file and securely get it over to my colleague?” “Is that my dog barking on this call?”

But making do on a dime’s notice? That’s an Olympic sport! By now, you’ve probably solidified a somewhat mobile process that temporarily serves the needs of you and your constituents – but, as more and more people adjust to indefinite remote working conditions, it’s vital that organizations stay prepared to continue supporting the public from their home offices, while on-the-go and under every circumstance.

But to even consider an overhaul of your processes can be overwhelming. Take housing authorities, for example. They need to consider:

  • Paperless tenant certification and recertification processes
  • Paperless HQS unit inspections (RFTA)
  • Converting and digitizing tenant files
  • Digital tenant file folders that are integrated to the agencies Section 8 software system
  • Paperless asset management and work order processing

There’s probably more. But, as the adage advises, “the best way to eat an elephant is one bite at a time.” We find that truth backed up in this recent article by Hyland explaining that it’s best for governments to automate one process at a time and then gradually expand. Continue enjoying the read to learn more about taking steps toward the inevitable future of automated government operations.
